ArchClient Terms of Use
Effective date: September 23, 2026
These terms are the agreement between you and ArchSoftware LLC for using the ArchClient app. Please read them; they are short, and they matter. If you do not agree with these terms, then do not use the software.
1. Who is who
- ArchSoftware LLC ("ArchSoftware", "we", "us") is a Texas company. We make and run the app.
- Your school is the music school or studio that licenses the app from us and gave you your account. ArchSoftware LLC is not the school, teacher, instructor, education provider, or billing party. Lessons, scheduling, billing, teachers, and everything about your student's education are your school's business, under whatever enrollment agreement you have with it. These terms do not change that agreement.
- You are a parent or guardian, or a student who is 18 or older, with an account your school created. When these terms say "your student", they mean the student whose lessons you see in the app — your child, or you yourself if you are an adult student.
In short: the app is ours; the relationship is with your school.
2. Your account
- Your school creates your account after you enroll. You cannot sign up on your own, and you cannot create accounts for other people.
- Accounts are for adults only. Children do not get accounts and may not sign in on their own.
- Keep your password to yourself. If you turn on Face ID, Touch ID or fingerprint unlock, anyone whose face or fingerprint is enrolled on your phone (or who knows your phone passcode) can open the app — that is your choice to make and manage.
- Tell your school promptly if you think someone else is using your account.
- Your school can suspend or remove your access — for example when a student withdraws, or when a guardian's authority changes. That is between you and your school.
3. What the app is for
The app lets you see your or your student's lessons, attendance, notes, homework and progress; message your school; see invoices and balances; get notifications; and use a few conveniences that run on your phone (calendar export, practice reminders, sharing, biometric unlock).
The information you see comes from your school and its teachers. We display it; we do not author it and cannot vouch for it. If something looks wrong — a lesson time, a balance, a note — ask your school.
4. Payments and tickets
The app does not take payments. Invoices and balances are shown for your information; payments are made directly with your school under its own terms. Event tickets are bought on your school's website in your phone's browser, not in the app, and the website's own terms cover that purchase.
5. Acceptable use
Use the app for what it is for: your own family's lessons and your relationship with your school. Do not:
- try to see another family's information, or get around access limits;
- share your login with people outside your household or use someone else's;
- send abusive, threatening or unlawful messages to school staff;
- upload, record, or share content in violation of applicable law or without any consent or authorization required by law;
- probe, scan, overload, reverse-engineer or interfere with the app or the servers behind it;
- use automated tools to pull information out of the app.
If you break these rules, your school or we can suspend or end your access.
6. Content you submit
You may send content through the app — messages to your school, problem reports with screenshots.
- It stays yours. You retain whatever rights you have in content you submit, per the terms of your agreement with your school. You represent that you have the rights and permissions necessary for us and the school to use the content.
- You give us and your school permission to use it for the purpose you sent it. Specifically, you grant ArchSoftware and your school a non-exclusive, royalty-free licence to store, copy, display and transmit that content so it can be shown to the school staff it is meant for, kept in your student's records, and used to support and improve the app as described in our Privacy Policy. We do not use your content for advertising, and we do not use your content to train AI models.
- You are responsible for it. Only submit what you have the right to submit. A parent who submits content on a child's behalf confirms that they are that child's parent or guardian.
- Deleting it. Messages and reports form part of your school's records and are kept under its data retention policies.
Your school retains its rights in the information and records it provides to the platform. You may view, download and share it for your family's own use. Do not republish it.
7. Notifications, reminders and sharing
- Push notifications are optional; turn them off in your phone's settings at any time.
- Practice reminders are scheduled on your phone; we do not control when or whether your phone shows them, and a missed reminder is not something we can be responsible for.
- Adding a lesson to your calendar makes a copy on your phone. The app is the source of truth: if a lesson moves, the copy in your calendar does not move with it.
- When you share something from the app, it goes to the app you chose and is out of our hands from then on.
8. Privacy
How information about you and your students is collected and used is described in our Privacy Policy at https://www.archsoftware.co/privacy, which is part of these terms. Your school collects the information; we process it on the school's behalf.
9. Availability, changes and "as is"
We work to keep the app available and correct, but we cannot promise it will always be. It may be unavailable for maintenance, because of problems with your phone, network or app store, or because of problems with the systems your school uses. We may change, add or remove features, and we may update the app's content without publishing a new version to the app stores.
The app is provided "as is", without warranties of any kind, to the extent the law allows. In particular, we do not warrant that the information your school puts in the app is accurate or complete, or that the app will meet every need you have.
Nothing in these terms limits rights the law gives you that cannot be limited by contract.
10. Limitation of Liability
ArchSoftware is not liable for indirect or consequential loss, for the content or accuracy of information provided by the school, for a missed lesson or reminder, or for loss caused by your device or network. Your use of the app is at your sole risk.
To the fullest extent the law allows, ArchSoftware's total liability to you for all claims relating to the app is limited to the greater of (a) the amount you have paid ArchSoftware in the twelve months before the claim, or (b) US$100.
Your school's responsibility to you (for lessons, billing, safety, and so on) is governed by your enrollment agreement with the school, not by these terms.
11. Ending things
- You can stop using the app at any time, and you can ask for your account to be deleted from inside the app (avatar menu → Delete my account). Your school confirms the request, and we delete your account within 30 days and email you when it is done. The same request can be made from our deletion page at https://www.archsoftware.co/delete-account.
- What deletion covers. We delete the account itself: your sign-in, your sessions on every device, your push-notification tokens, any sign-in saved on your phone for Face ID, Touch ID or fingerprint unlock, the analytics identifier for your installation, your profile and settings in the app, and the content your family created in the app.
- What deletion does not cover. Your student's educational and financial records — lessons, attendance, teacher notes, homework, invoices and payments — are your school's records. Your school keeps them under its own retention policy and the law, and they also live in your school's scheduling and billing system, which is a separate system the app only reads from. Deleting your account does not delete those records and does not withdraw you or your student from lessons. The Privacy Policy sets this out in full under "Deleting your account".
- If you cannot get into the app, email your school to request deletion of your account. If it does not respond within a reasonable period of time, write to support@archsoftware.co from the email address on your account with the subject "Delete my account" and your school's name. We will confirm when it is done.
- Your school can end or suspend your access at any time, under its own rules and its agreement with you.
- We can suspend or end your access if you break these terms, if we must for legal or security reasons, or if your school's license with us ends. If the school's license ends, the school's data — including your account — is handled as the Privacy Policy describes.
Sections 6 (the licence for content already submitted), 9, 10 and 12–13 continue to apply after your access ends.
12. Changes to these terms
We may update these terms. The effective date at the top shows when. If a change materially affects your rights, we or your school will tell you in the app or by email before it takes effect. Continuing to use the app after that date means you accept the new terms; if you do not, stop using the app and ask your school or us to close your account.
13. Law and disputes
These terms are governed by the laws of the State of Texas, without regard to its conflict-of-laws rules. Any dispute that cannot be resolved informally will be brought exclusively in the state or federal courts located in Dallas County, Texas, and you and we each consent to the jurisdiction of those courts.
Before anything formal, please just contact us — most problems are a support ticket, not a dispute.
14. Apple and Google
If you downloaded the app from the Apple App Store or Google Play, the store's own terms also apply to the download. Apple and Google are not parties to these terms and have no responsibility for the app or its content; if the app fails to conform to a warranty, you may notify Apple and Apple may refund the purchase price (there is none — the app is free), and Apple has no other warranty obligation. Apple and its subsidiaries are third-party beneficiaries of these terms and may enforce them against you.
15. The whole agreement, and contact
These terms, together with the Privacy Policy, are the whole agreement between you and ArchSoftware about the app. They do not replace or change any agreement between you and your school. If a part of these terms is found unenforceable, the rest still applies.
